TO: ALL THE OFFICE BEARERS, EC MEMBERS OF AIRIEF, ZONAL OBS AND, PRESIDENTS, SECRETARIES AND TREASURERS OF DIVISIONAL ASSOCIATIONS AFFILIATED TO AIRIEF

NOTICE is hereby given to all the members of AIRIEF that the 13TH Biennial General Council Meeting is scheduled to be held from 09-09-2026 to 11-09-2026 at

3. The AIRIEF HQ has advanced non refundable Rs.100000/- as seed capital to host MYSURU to meet initial expenses. The tariffs in hotels of MYSURU are expensive RELATED TO THE INCREASE IN THE PRICES OVER THE LAST TWO YEARS. To meet the hotel expenses, the host, LIC PWA, MYSURU, has worked out the probable expenses on this score and this surely must have been at the back of their mind to decide the DF/OF at Rs.8500/-.Sure, the Secretary, LIC-PWA MYSURU has talked to the President/General , Secretary in the loop before deciding the DF/ OF.
It will be in the fitness of the things that the participating RIEAs start sending their DF/ OF to LICPWA's Bank account, BEFORE 15-08-2026. This will facilitate the host Division to ascertain the room requirement. As of now, the projected participation is 200 delegates and rooms ARE blocked on THE occupancy OF TWO PLUS ONE ADDITIONAL COT basis.
4. Delegation/observers Fee is to be transferred to our Mysuru Association A/C, one month prior to the date of meeting.

6. Mysuru has made arrangement for a Projector. If any participant needs this, he can use the projector
7. Tariff for advertisements will be intimated by Mysuru in a couple of days.
8. Names of the THREE participants sharing the room should be sent to Mysuru one month prior to meeting date.
9. Everyone is requested to plan his journey in such a manner so that he can reach in time to attend the meeting. The Hotel rooms will be available from 1pm on 09-09-2026.
10. Mysuru leaders will advise on further developments.
11. Delegates and Observers: Our Constitution Rule 13 (a) (iv) says :
-- Each affiliated Association shall elect one delegate for every block of 50 members, or part thereof, such part being not less than 25 members, subject to a minimum of one delegate.
12. (i) All Office bearers of AIRIEF are delegates from the affiliated association.
(ii) Observers may attend the General Council meeting at their own cost and by paying the prescribed fee, but they will have no voting rights. There is no restriction on the number of observers.
Some important additional points ---
1. The EC meeting is to be from 5 pm to 8 pm on 9-9-2026
2. The flag hosting is to be done at 9 am on 10-09-2026.
3. The Inauguration shall be at 9-30 am on 10-09-2026.
4. The business session on 10th and 11th September 2026 shall be between 9-30 am and 1.30 pm and again between 2.30 pm and 7-30 pm. This should be strictly observed to cover the AGENDA.
5. Speakers are to give in written slips the subject they would like to speak and the duration of their speech.
6. While speaking the usual addressing the leaders on the dais etc must be avoided. Instead, the speaker may start with " the leaders on the dais and off the dais".
7. In case of any necessity to reach the venue, Reference of Hotel Manager, and 7 OBs from Mysuru and 3 OBs from Bengaluru are given below, Additionally, since Bengaluru is the point on the route, the name of the Cab owner in Bengaluru who has contacts in Mysuru also, is given.
